C & G ROADSHOW Booking Terms.   

 

(1) By completing and sending back your Booking form, you agree that you are making a confirmed booking and entering into a contract which carries your acceptance, in full, of the following booking terms.  

(a) You agree that the confirmed start and finish times that you have supplied are accurate and correct  

(b) Any extension beyond the confirmed finish time is at the discretion of C & G Roadshow and the management of the venue. Any extension to the agreed timescale will be charged in addition to the booking fee at £30.00 per hour (or part hour), thereafter, which shall be payable in advance  

(c) You agree to our booking fee and agree to send your booking deposit within 14 days of booking to which the balance is payable, in full, by cash, upon arrival of  C & G Roadshow at your venue.  

(d) Cheque payments are also accepted, and these should be sent by post at least 30 days before the date of the function to allow for payment clearance. We reserve the right to refuse or restrict service provision where a cheque is presented as payment on the night of the function, or where payment has not been made in full prior to or upon our arrival.  

(e) The Client shall have the right to CANCEL the booking in writing 28 days before event.Please note that if the function is cancelled within 14 days   notice then the full booking fee may be charged.  

(f) The Client is responsible for safety and security at the venue and shall evict any person(s) causing nuisance to the D.J, or any other person employed by, or associated with C & G Roadshow. As with any occupation, we will not tolerate verbal or physical abuse.  

(g) In the unlikely event that C & G Roadshow is unable to attend personally due to accident or sudden illness, C & G Roadshow shall endeavour to provide a suitable substitute offering the same level of service at no additional charge to the client. This does not apply in circumstances detailed in section (h) below.  

(h) Force of nature – C & G Roadshow will not be liable for failing to attend a booking, where the reason for non-attendance or late arrival is caused by adverse weather conditions (including Snow & Flooding), road closure, road traffic accident, vehicle breakdown, acts of terrorism, industrial action, or other unavoidable circumstances deemed beyond our control.  

(I) The Client will arrange for the venue to be unlocked upon arrival of C & G Roadshow. The client and venue will allow suitable time for the installation and dismantling, and removal of disco equipment (normally 45 minutes each side of the booking times). Where appropriate, the Customer will also inform the venue, in advance, of our requirements. We shall not be liable for any additional charges levied to the client by the venue in relation to our equipment assembly / removal timescales.  

(j) Where the function is solely for or includes guests under the age of 16 years, the client, (or other Adult) is responsible for the behaviour and safety of any minors attending the venue. Where the function is solely for minors, the client will provide and maintain adequate adult supervision at all times.  

(k) C & G Roadshow will accept music lists and requests in advance of functions & will endeavour to play a reasonable number of the client’s chosen requests, provided such requests are submitted at least 1 week before the event. The client also agrees that C & G Roadshow cannot guarantee the inclusion of any difficult to source, obsolete or deleted titles either requested at the event or previously notified  

(i) C & G Roadshow ensures that any equipment to be connected to a power source is electrically safe, has passed PAT electrical safety testing, and conforms to the HSE EAW Act 1989, and any amendments thereafter. C & G Roadshow will provide evidence of PAT Testing and Public Liability insurance to the client’s venue where requested in advance.  

(m) C & G Roadshow shall be in no way liable for breach of byelaws, or conditions under which the venue is leased, hired or entrusted to the Customer. The client / venue Management also ensures that all appropriate licenses, as required by law, are in force at the time of the performance(s).  

(n) Where the client requests that we set up the equipment at an earlier time prior to the actual start of the function, the client acknowledges that a tiered charge may be made for this additional service, and that this service will be subject to availability. In addition to any previously agreed charges, if we should arrive at the clients venue at any earlier, pre-arranged time, and we are unable to access the venue to set up the equipment or are prevented from doing so by the venue management, then the client shall be charged an additional £30, which will be added to the booking fee and will be payable at the start of the actual function.  

(o) C & G Roadshow will not be liable for any refund, in part or whole, where we are late accessing the venue and setting up purely because of earlier events over-running, or where we are prevented from accessing, setting up or providing our professional services by the venue management. Neither will we be obligated to provide an extension to the agreed timescale on a pro-rata basis in these circumstances.  

(p) Where C & G Roadshow is engaged to work alongside a band, (or other entertainer) it is the client’s responsibility to ensure that adequate space exists within the venue for both entertainers to set up their equipment, and that separate power outlets exist.  

(r) Where the event is being held in a marquee, the client will ensure that the work area is dry and that a minimum of 2x 13A power sockets are located within 15 Metres of this area.
